Build a project’s shared memory

Turn a project brief into a small, navigable collection of pages. Start with one clear purpose, add supporting subpages, and check that readers can find their way back. This walkthrough also explains the save indicators that matter before you leave an editor.

In the appProject → Documents → New document → Focus mode

What you’ll learn

  • Create and name a useful project entry page.
  • Organise subpages and verify their position.
  • Read save feedback before changing context.

In this guide
  1. Create a recognisable entry page
  2. Open focus mode and establish the outline
  3. Give supporting topics their own page
  4. Adjust the structure as the project grows
  5. Test navigation and check the save state

01

Create a recognisable entry page

Open Documents in the project and choose New document. Name the page in the Document title field, for example “Release brief”. Write a short purpose, the decision the team needs, and the next review date. Check the Documents list for the same title; a recognisable name makes later links and search results easier to identify.

02

Open focus mode and establish the outline

Select the document on the canvas and choose Focus mode. Use Show document library if navigation is hidden; choose Document tools and a section to open its inspector. In an empty paragraph, type / and choose Heading 1 or Heading 2 for Context, Decision and Next steps. Add ordinary paragraphs below the headings and check that the hierarchy reads clearly.

03

Give supporting topics their own page

Return to the canvas and open Document options for the entry page in Documents. Choose Add subpage for a supporting topic such as Research or Meeting notes. Rename it and add a few useful paragraphs. Expand the parent in the list to verify that the new page is nested beneath it, then open each page to check its contents.

04

Adjust the structure as the project grows

Use Move… in a page’s options to choose its Parent page and Position, then confirm Move page. Move up and Move down adjust siblings. Duplicate gives you a starting copy for another topic. When removing an obsolete branch, review the subpage count before Move to Trash; use the Trash tab and Restore if you need that branch again.

05

Test navigation and check the save state

Reopen Focus mode and choose Find a document, or press Cmd/Ctrl+K. Use Search documents… to find a title or available page content. Open a result and clear the search to return to the tree. Before Return to canvas, inspect Saved, Saving…, or Saved on this device. If saving needs attention, keep the editor open and follow its recovery feedback before navigating away.

What you will have

A clear entry page, useful subpages and a tested route through the project’s written context.
